Oak & Eagle Solutions

Privacy Policy

Effective September 16, 2026 · Version 1.1

Oak & Eagle Solutions LLC ("Oak & Eagle," "we," "us") values your privacy and is committed to protecting your personal information. This policy explains what we collect, how we use and share it, and the choices you have. By using our website or our services, you consent to the practices described here.

1. Information We Collect

A. Information you give us

We collect personal information when you contact us, send a message through the form on our website, request a quote or consultation, become a client, or sign an agreement with us. This may include your name, email address, phone number, company name, business address, billing information, and details about your business and project.

B. Payment information, processed by Stripe

Payments to Oak & Eagle are processed by Stripe, Inc. When you pay a deposit, an invoice, or a recurring retainer, your card or bank details are entered directly with Stripe on its secure systems. We never see or store your full card number or bank credentials. Stripe shares with us only what we need to manage your account: your name, email, billing address, payment amounts and status, and the last digits and brand of your card. Stripe's handling of your payment credentials is governed by Stripe's own privacy policy. How charges, refunds, and subscriptions work is described in our Payment Terms.

C. Information collected automatically

Our hosting provider automatically logs basic technical information about requests to the site, such as IP address, browser type, and pages requested, which is used for security and aggregate traffic statistics.

We use Cloudflare Web Analytics to understand how the website is used. It does not use cookies, does not track you across other websites, and reports visits to us only in aggregate.

We also use RB2B, a visitor identification service. When a business visits our website, RB2B may use the IP address, browser information, and cookies or similar identifiers to match the visit to a business and, where available, a business contact at that business, so that we can follow up. RB2B processes this information under its own privacy policy. If you would rather not be identified this way, tell us at the contact below and we will honor the request.

We do not use advertising pixels or remarketing tags. If we add other analytics or advertising tools in the future, this policy will be updated and the effective date revised.

D. Client business data

When we build or operate systems for a client, we handle that client's business data (for example operational records, customer lists, and financial figures) as a service provider under our written agreement with that client. That data lives in access-controlled environments dedicated to the client, is used only to deliver the contracted services, and can be exported by the client at any time. We may retain anonymized, aggregated statistics that do not identify any client, customer, or person and cannot reasonably be re-identified, to improve our services and build industry benchmarks. If you are a customer of one of our clients, that client's own privacy policy governs their relationship with you.

2. How We Use Information

We do not sell your personal information. We do not share it for cross-context behavioral advertising.

3. Email & SMS Communications

If you opt in to receive communications from Oak & Eagle, you may receive appointment confirmations, service updates, billing notices, and, with separate consent, promotional messages. Message frequency varies, and message and data rates may apply. You can opt out of SMS at any time by replying STOP, or get assistance by replying HELP. You can unsubscribe from marketing email using the link in any message. No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are excluded from any sharing described in this policy.

4. When We Share Information

We share information only with trusted providers, and only so they can perform services for us:

We may also disclose information when required by law, or to protect our rights, our clients, or others. If Oak & Eagle is ever part of a merger or sale, information may transfer as part of that transaction under the same protections.

5. Security & Retention

We use commercially reasonable administrative, technical, and physical safeguards, including access controls and encrypted backups, to protect information. No method of transmission or storage is completely secure. We keep personal information only as long as needed to provide services, meet legal and tax obligations, and maintain required records, then delete or anonymize it.

6. Your Rights

You may request access to the personal information we hold about you, ask us to correct or delete it, or withdraw consent to communications, by contacting us using the information below. California residents may additionally request details about the categories of information we collect and how they are used. We honor these requests as applicable law provides and never penalize you for making one.

7. Children's Privacy

Our services are for businesses and are not directed to individuals under 13. We do not knowingly collect personal information from children.

8. Changes to This Policy

We may update this policy as our services and the law evolve. Changes are posted on this page with a revised effective date, and material changes are communicated to active clients.
